TerraLex IT Manager
Scope of Responsibility/Position Description
TerraLex is an international association and network of law firms. The IT Manager is responsible for maintaining TerraLex’s IT systems and managing all technology-related initiatives. The IT Manager is also responsible for ensuring that any cybersecurity risks are minimized. In collaboration with the Meetings Manager, the IT Manager participates in managing audio-visual needs at TerraLex’s Global Meetings and supports the use of Cvent. The IT Manager supervises the IT & Graphics Assistant. Duties and responsibilities may change over time, and all TerraLex team members are expected to work collaboratively and be able to assist any other department in times of need.
General IT Duties
Responds to any requests related to IT services and the website from TerraLex management, members or the public.
Manages office equipment, including phones, copiers, and other equipment.
Manages equipment purchasing by evaluating and comparing products, and recommending solutions to management.
Technical infrastructure, upkeep, troubleshooting, usability, and value.
Site changes, additions, deletions, and enhancements.
Reporting and tracking.
Researches and provides recommendations on improving business processes through the use of existing or new technology solutions.
Monitors IT developments and makes suggestions for new technology applications.
Installs and/or administers the various business software solutions that may be used within the office environment or that may be part of its website services.
Manages IT vendors, including budgeting, invoicing, work scope and assignments, and work quality.
Analyzes systems at TerraLex for appropriate automation or use of technology, and assists staff in automating processes and reports.
Manages all aspects of computer maintenance including hardware, software, network systems, cabling, etc.
Ensures safety, security, back-up and viability of all systems.
Project Management, Documentation and Budgeting
Serves as project manager for all IT projects.
Analyzes and documents all existing business processes.
Tracks the development of all IT projects and ensures that these projects match business goals.
Provides regular updates to management on all on-going IT projects.
Prepare and monitor annual IT budget.
Prepare and maintain up-to-date documentation and training materials for all TerraLex IT and telecommunications software, hardware, and systems.
Trains staff and members in IT applications.
Documents all work processes handled by outside vendors.
Database Management & Reporting
Updates data in TerraLex’s databases (i.e., member mailing lists, member contact information, etc.).
Maintains and optimizes all in-house databases with emphasis on availability, reliability, scalability, and security.
Works with website developer to build a database structure that matches business
Oversees the backup and security of the organization’s vital information.
Provides end-user support and serves as the Help Desk for all constituents.
Supports technology needs for Global Meetings including Meeting Registration Site, Meeting App, on-site A/V equipment, and presentation support.

Computer science and/or information technology degree, background, and experience.
Understanding of network structure and functionality.
Knowledge and skill in web programming languages.

Ability to manage employees and vendors.
Strong orientation towards cost efficiency and effectiveness.
Able to travel internationally.
