Efficiently performs administrative duties of a responsible, confidential and detailed nature for two or more individuals. Establishing priorities is of the highest importance. The legal assistant must be capable of working independently and collaboratively, exercising initiative and reliable judgment and possess excellent written and verbal communication skills.
Primary Activities (General):
Maintain appointment calendars including scheduling for appointments, hearings and court dates.
Maintain tickler system.
Maintain lawyer’s files and records.
Initiate follow-up action as required.
Exhibit superior time management skills, multi-tasking skills and the ability to organize and expedite the flow of work through lawyers’ offices; effectively prioritizing work to meet deadlines as required.
Prepare legal documents with a very high degree of accuracy. Ensure all work is carefully proofread, edited for grammar, spelling and content accuracy.
Prepare routine correspondence not requiring the lawyer's attention.
Transcribe dictation as required.
Prepare special reports and materials including gathering and summarizing data.
Relieve lawyers of routine administrative details by exercising appropriate initiative, judgment and common sense.
Screen visitors, incoming calls, faxes and electronic mail when necessary.
Telephone interaction with clients, legal counsel and others under the direction of the lawyer.
Complete administrative tasks with respect to accounting, opening and closing files, docketing, and billing according to firm standards.
Provide training and/or mentoring of less senior assistants.
Provide secretarial assistance to other lawyers if time permits.
Perform all other assigned duties.
Knowledge, Skills and Attributes:
A legal assistant community college diploma or equivalent is required for the position.
Strong secretarial, organizational, technical skills, excellent communication skills and experience with a document management system (Worldox) are required.
Effectively works in a team environment or independently, as the situation requires.
Resourcefulness and flexibility key attributes to working in a busy and often stressful environment.
Strong knowledge of basic legal concepts, principles and terminology. Good understanding of the courts, the rules of civil procedure and administrative tribunal procedures.
Demonstrate discretion and the ability to effectively handle sensitive or confidential information with tact and discretion.
Demonstrate sound work ethics.
Respectful, honest and trustworthy.
Must be professional and courteous.
Good to excellent keyboarding and dicta skills.
Ability to operate standard office equipment.
Demonstrate initiative and diligence.
Knowledge of and complies with all Cavalluzzo policies and procedures.
Physical demands of this position may require the incumbent to spend many hours sitting, walking, bending, keyboarding, working on computer monitors, photocopiers and related equipment and on occasion lifting heavy books or boxes weighing up to 30 lbs.
