Description: The Information Governance Matter Mobility Supervisor implements, coordinates, governs and monitors the handling of digital client data transfers by the Matter Mobility team. Under the direction of the Information Governance Senior Manager, the Information Governance Matter Mobility Supervisor will manage the IG Matter Mobility team to support the Information Governance (IG) Department in data transfers associated with the onboarding and off-boarding of client matters and related matters. Key Responsibilities Include: - Manage the IG Matter Mobility staff activities in the implementation of Firm policies and procedures regarding the transfer of digital client matter records into and out of the Firm;
- Implement Firm policies and procedures in support of the Information Governance framework;
- Manage the arrangement of the transfer and transport of digital data using secure methods of communication for the data transfers;
- In conjunction with the IG Senior Manager, ensure that the correct matter retention schedules are applied to all inbound records and legacy copies of outbound records;
- Provide hands-on leadership with best practice experience in Matter Mobility digital transfers as well as coaching, technical guidance, and training to the IG Matter Mobility staff;
- Provide advice, technical consultation, and guidance by analyzing and resolving problems and evaluating established, documented methods of satisfying user requirements;
- Keep current on up-to-date technology solutions, investigate product offerings, and present ideas to IG Senior Manager for new technology solutions;
- Oversee multiple projects to ensure project scope, milestones and deadlines are met and in alignment with IG Department established practices;
- Track and maintain records of any written client consent required for the transfer of data;
- Work with IT and other Firm departments to address any recurring digital transfer issues and apply established IG Department practices;
- Liaison with appropriate Firm personnel and personnel at reciprocal law firms regarding the transfer process where matter mobility has been initiated;
- Facilitate the Matter Mobility due diligence process of all transfers and present weekly status reports regarding transfers to designated Firm leadership for analysis and direction;
- Establish performance expectations, review employee performance, conduct performance reviews for IG Matter Mobility staff as directed and makes job change recommendations to the IG Senior Manager;
- Communicate team’s work load as well as assigned activities to the IG Senior Manager;
- Serve as a resource to answer any questions regarding the transfer process; and
- Special projects and additional duties as assigned and directed.
Qualifications: - Minimum of 4+ years of related working experience; law firm experience and/or familiarity preferred; including 2 years supervisory experience
- Strong supervisory skills and the ability to manage a team of direct reports, including abilities to motivate, evaluate, provide instruction and correction, and make recommendations to IG Senior Manager on staffing needs;
- Knowledge of the principles and best practices of enterprise Information Governance;
- Knowledge and experience in utilizing legal software and other applications/software (e.g. iManage, Milan, ServiceNow, Windows Office Suite, Windows Server);
- Knowledge of best practices for managing and transferring large datasets;
- Knowledge of data privacy and methods to keep data secure, such as encryption, MFA, etc.;
- Knowledge and experience in utilizing familiarity with Windows File Share Administration as well as Active Directory;
- Functional understanding of network engineering and security principles (e.g., protocols, routing, switching, filtering, firewall rules, etc.);
- Ability to solve technical problems/ processes and understand complex details
- A level of interpersonal and verbal communication skills necessary to relate to other people at their systems knowledge level
- Ability to understand and perform basic troubleshooting for various technologies, such as file shares, connectivity and application use;
- Experience in establishing and executing policies and procedures, obtaining resources and developing best practice improvements;
- Strong Project Management experience as well as experience in planning, organizing, coordinating and managing resources and activities;
- Ability to effectively manage multiple projects simultaneously, including appropriately balancing time sensitive operational project with less urgent operational projects and strategic future-focused projects;
- Strong written, leadership, communication, organization, team building, resource management and problem solving skill; and
Minimum Education: - Bachelor’s degree in relevant field.
