We are currently seeking an IT Operations Administrative Coordinator in the Information Technology department reporting to the Director of IT Operations.
The role will reside in the Washington, DC office with hybrid work capabilities and working with the IT Operations Team will be responsible for supporting a variety of team initiatives, analyzing operational needs, gathering requirements, and developing action plans to accomplish the specific goals of the team. The role involves working closely with the IT Ops management team ensuring that core operational and administrative functions are running optimally through excellent coordination of resources, detailed planning, mastery of clear processes and communication, and thorough vendor engagement.
Key responsibilities of this position include:
Vendor Management
Works directly with IT Administration and IT Operations managers to onboard new vendors, services and products through our intake process (obtain NDA, schedule introductions and demos, etc.).
Interface with IT Administration to manage the lifecycle of vendor contracts to include tracking renewals and scheduling contract reviews
Maintain ongoing vendor relationships to include scheduling Quarterly Business Reviews (QBR).
Ensure points-of-contact for all business and technical support for vendors are updated and maintained.
Procurement
Perform all facets of procurement in conjunction with IT Administration to include soliciting quotes, submitting orders, tracking shipments, and coordinating deliveries.
Schedule and facilitate reviews of received proposals with third-party benchmarking services.
Collaborate on the oversight of department expenditures with the IT Administration department to monitor the IT Operations budget.
Operations
Maintains the IT Operations master calendar of planned activities and projects to stay abreast of immediate and long-term commitments to identify conflicts, flags problems for intervention, and correct course as appropriate.
Tracks and oversees completion of a variety of IT Ops action items or work activities as delegated.
Assists as liaison for IT Ops projects with external teams.
Develop standard operating procedures (SOPs) for key areas within area of operation.
Coordinate user impacting changes with Service Delivery by managing resources and communications
Work directly with the firm’s ITSM (IT Service Management) team to:
Maintain IT Ops items in the CMDB hosted in ServiceNow.
Coordinate and schedule internal IT service reviews and external vendor reviews and provide support throughout the process for execution of reviews.
While working with the firm’s Project Management Office (PMO), assist in the planning and coordination of project management activities related to IT Operations
Interact with the IT Operations staff to perform their daily functions efficiently.
Develop strong working relationships with management and department personnel for effective and smooth operations.
Administrative
Assist in planning and organizing training, management meetings, conferences and workshops as requested, preparing and distributing meeting agenda and meeting minutes when required.
Maintains knowledge of IT Operations policies, processes, and procedures to ensure administrative efficiency.
Creates and maintains firm documentation, reviews drafts and finished documents for accuracy and grammar, including documents of a sensitive or confidential nature.
Maintain security and confidentiality of firm information.
Schedule and facilitate reviews of new technologies with third-party market researchers (Gartner, InfoTech, etc.)
Utilizes knowledge and understanding of underlying operational issues to assist in administrative problem solving.
