The Information Governance (IG) Business Analyst, under the direct supervision of the Information Governance Manager, is responsible for a broad range of strategic projects and initiatives. The IG Business Analyst plans, executes, and/or supports one or more IG projects and services relating to data lifecycle management and electronic recordkeeping practices, as well as information management technology and systems, data privacy and information security, and the ethical, legal and regulatory requirements for lawyers and law firms related to information. This role serves as a subject matter expert on project teams, performs data analysis and research assignments, documents results, makes recommendations regarding legacy data, and makes executive-level oral presentations and written recommendations relating to information governance.
This role has primary responsibility for implementing information technologies and working practices relating to access control, and disposition of client and firm administrative data and records. In conjunction with the Firm’s Technical Services Group (TSG), assist in the development of migration strategies to ensure the integrity of records and related metadata over the required lifecycle of the records as information systems are upgraded or replaced.
This role will be responsible for initiatives and projects spanning all offices, legal practice areas and administrative departments working with partners, senior legal staff and administrative managers.
On any given day, you will be working with the Information Governance Manager, Sr. Director of Compliance and Information Governance, our lawyers, their assistants and other firm personnel.
Support and advocate for firm defined Information Governance Standards and Procedures.
Working closely with Manager and Director to identify and prioritize business and information needs.
Importing, cleaning, transforming, validating and/or modeling data with the purpose of understanding or drawing conclusions from the data for decision-making purposes.
Producing complex analysis on datum using tool such as SQL, Excel and other analytics tools. Interpreting data, analyzing results and providing recommendations based on findings.
Validate client and matter permissions and access restrictions.
Collaborates with system owners on the governance of data within their systems.
Assist in leading, directing, and reviewing activities associated with delivering technology products. Work with Managers and Directors to prioritize requirements, define and manage scope and timelines for a project.
Assure the accuracy and integrity of the Records Management System (RMS) and the Document Management System (DMS) by promoting adherence to Firm Information Governance Standards.
Propose and implement quality controls to ensure that large-scale data transfers are performed in a matter that ensures data is completely and securely transferred to an external party on a timely basis.
Creates and executes project plans and provides project management oversight to drive the reduction of off-site records storage goals.
Lead high-level research and projects for various practice groups.
Researches and assists with the implementation of new and existing records retention periods.
Proposes new and improved workflows for client and administrative records retention review.
Ensures proper information governance controls are in place for client and firm data.
Establish, maintain and audit confidential and ethical walls. Manage user notifications and acknowledgements.
Document standard processes for information creation, access, classification, retention and disposition.
Work with firm training resources to design training programs to support Information Governance initiatives.
Ensures project documents are completed, current and stored in Firm designated repositories.
Complete other projects as required to meet firm goals and initiatives.
A Bachelor’s degree and three years’ experience in the workforce is required in either a law firm, finance, investment banking or other professional services environment. Additional credentials preferred; examples include, Information Governance Professional (IGP), Certified Information Privacy Professional, Certified Records Manager (CRM) or Certified Information Governance Officer (CIGO).
Proficiency with SQL and Microsoft Office software, particularly expertise with Excel, Outlook and Word, is required. Experience with Adobe, Visio and SharePoint and a working knowledge of other platforms including iManage Records Manager, SQL Reporting Services (SSRS), and Intapp is preferred.
Excellent client service orientation and listening skills, with comfort interacting with Firm lawyers, executives and other personnel.
Proven ability to organize and manage a diverse range of projects, prioritizing multiple tasks with competing deadlines (at times in high-pressure situations).
Knowledge and experience working with structured, semi-structured, and unstructured data.
Ability to compile and analyze data and present the information in various report formats.
Strong written and verbal communication skills
Dependable team player with interpersonal skills necessary in order to communicate, follow written and/or oral instructions, and to act independently and make decisions within scope of the position’s responsibilities.
Excellent troubleshooting, problem resolution, and follow-through skills, good research skills and the ability to identify and analyze and interpret complex information governance-related issues and inquiries and to recommend and implement solutions.
Proactive and able to provide information and training, and maintain effective relationships with a diverse group of attorneys, clients, staff, and contacts outside the Firm, in person, by e-mail and telephone with courtesy and diplomacy.
